With Advanzo you write the email when you have time, and it goes out when the customer reads: Tuesday at 08:10 instead of Friday at 22:30. You see whether the message was opened, and you create the follow-up task in the same step. Templates with placeholders, your personal signature and AI reply drafts in four tones take the typing off your hands; what goes out is your decision. Emails run through your own Gmail, Microsoft 365 or IMAP account and stay in sync in both directions.

This post is for salespeople in small teams who write their emails in the evening or between two meetings and still want them to arrive at the right moment. And for anyone who wants to know what open tracking really shows and what it does not.

The problem today: good emails at the wrong time

The best follow-up after a quote is worth little if it lands on Friday at 22:30. On Monday morning it sits under sixty other messages, and the customer scrolls past it. If you write it on Sunday, they wonder whether you ever stop working. If you leave the draft until Monday, you forget it in the first meeting.

The second problem is the silence afterwards. You do not know whether the email was read. So you follow up too early and seem pushy, or too late and a competitor was quicker. The third problem: every follow-up is written by hand, with small mistakes in the company name and a different signature per person.

Why timing in sales often matters more than the wording is covered in why timing in sales matters. This post shows how you take control of timing inside the CRM.

What Advanzo brings to the timing question

In Advanzo email is not a side panel, it is the centre. Every message lands in the timeline of the contact, the company and the deal. For timing, these building blocks come together:

  • Two-way sync: Gmail, Microsoft 365 or any IMAP account. Mail is synced into the CRM and sent from it. Replies, forwards, attachments and threads work as in a mail client.
  • Templates with placeholders: first name, company, deal value and other fields are filled in when you insert the template.
  • Personal signatures: every person has their own, consistent in every email.
  • Scheduled sending: you pick date and time, and the email leaves from your account at that moment.
  • Open tracking: you see whether and when a sent email was opened, within the limits described further down.
  • AI reply drafts: the AI assistant reads the whole thread and proposes a reply in the language of the conversation, in a professional, friendly, concise or formal tone, with custom instructions if you want. You review, edit and send.
  • Tasks and reminders: follow-up tasks with due dates, reminders and a calendar view, with a per-user agenda.

Then there is the shared team inbox: an address like sales@ is worked together, and every message is linked to the right contact and deal. When a colleague is on holiday, the person covering sees in the timeline which email went out when, whether it was opened and which follow-up task is still open. Nobody has to dig through someone else's mail client.

How to schedule an email and track the open: step by step

Step 1: Connect your account

Connect Gmail or Microsoft 365 in two clicks through the Advanzo app, or enter an IMAP account. If you want the connection to run through your own Google or Azure app, you register it in the workspace settings. From now on your inbox and the CRM are in sync in both directions.

Step 2: Create templates and your signature

Create three to five templates you actually need: first contact, follow-up after a quote, meeting confirmation, reactivation. Add placeholders for first name, company and deal value. Set up your personal signature once. Which templates are worth having is covered in email templates that save time and still feel personal.

Step 3: Write the email or review the AI draft

Open the deal and write the email from the template, or let the AI assistant propose a draft from the thread so far. Choose the tone, read the draft, change what does not fit. Nothing leaves until you click Send or Schedule.

Step 4: Pick the send time

Instead of Send you choose Schedule and set date and time. Written Friday evening, sent Tuesday 08:10. The email appears in the customer's inbox as a normal message from your account.

Step 5: Watch the open

In the deal's timeline you see whether and when the email was opened. An open after ten minutes means the topic is on their mind, so a call makes sense now. No open after three days means check the subject line or the send time before you rewrite the content.

Step 6: Create a follow-up task with a reminder

Create a task as you schedule: «Follow up if no reply», due three working days after the send time, with a reminder. It appears in your agenda. What a follow-up rhythm looks like that does not annoy people is in follow-up done right.

What open tracking shows and what it does not

Open tracking works with a tiny image in the email. When the recipient's mail client loads the image, that counts as an open. It is a useful signal, but not proof. You need to know three limits:

  • Image blocking: many corporate clients and Outlook installations load images only after a click. The customer reads the email, you see no open.
  • Preloading: Apple Mail and some security gateways load images automatically before a human sees the email. You see an open that may not be one, often at night or seconds after sending.
  • Forwarding: if the recipient forwards the email to a colleague, that colleague's open is counted too. You do not know who read it.
SignalWhat it tells youWhat it does not tell you
Opened 5 to 30 minutes later, during office hoursThe email is on their mind right now, a call fitsThat it was read or understood
Opened seconds after sending or at 03:12Most likely an automatic preloadThat someone was awake and reading
No open after three daysCheck subject, send time or image blockingThat the customer is not interested
Several opens over several daysThe email is being pulled up again, often before a decisionHow many people have read it

The rule that follows: use opens to plan the order of your calls. Never use them as an argument with the customer. «I can see you opened my email three times» has never won a deal.

Checklist: email timing in the CRM

  • Your mail account is connected and the sync runs in both directions.
  • You have created three to five templates with placeholders and sent each one to yourself once.
  • Every person on the team has set up their own signature.
  • Emails written outside office hours are scheduled for the next working day between 08:00 and 10:00.
  • You treat opens as a signal for the order of your calls, not as proof.
  • Every scheduled email has a follow-up task with a due date and a reminder.
  • You check every AI draft for names, numbers and promises before you send.
  • Once a week you look at which subject lines and send times brought the most replies.

Mini scenario: a recruitment agency with 6 people in Bern

«Talentbrücke AG» places skilled staff with SMEs. Six consultants write around 80 emails a week to client companies: candidate proposals, follow-ups after interviews, fee quotes. Most are written in the evening after the interviews. Until now they went out immediately, often after 21:00, and two thirds stayed unanswered in the first week.

Now the team writes in the evening and schedules for the next working day, 07:45 for industrial clients and 09:30 for offices. Of 80 emails, around 50 show an open after one day; those contacts get a call the same day. The 30 without an open land in the agenda as follow-up tasks on day three. For replies to questions the team uses AI drafts in the «concise» tone, which each person reviews before sending.

Typical mistakes

  • Scheduling everything for Monday 08:00: then you compete with the fullest inbox of the week. Spread across Tuesday to Thursday and test two time windows.
  • Mistaking an open for interest: an open at 03:12 is almost certainly an automatic preload. Plan the call after opens during office hours.
  • Reading no open as a no: image blocking is the norm in companies. Follow up anyway, with a different subject line.
  • Sending AI drafts unread: the draft is a proposal. Check names, amounts and dates, then send.
  • Not testing placeholders: «Hello {first name}» in the customer's inbox is embarrassing. Send every new template to yourself once.
  • Scheduled email without a task: what goes out without a follow-up task gets forgotten. The task and the reminder belong to the email.

Frequently asked questions

When is the best time to send a sales email?

There is no time that works for everyone. For office workers, Tuesday to Thursday between 08:00 and 10:00 often works well; for trades and industry it is earlier. Test two time windows over four weeks and compare opens and replies in the timeline.

Does the recipient see that the email was scheduled?

No. The email leaves at the chosen time from your connected Gmail, Microsoft 365 or IMAP account and appears to the recipient like any other message from you, with your signature.

Does open tracking work with every recipient?

No. It relies on an image in the email. If the mail client blocks images, you see no open even though the email was read. If a client preloads images automatically, you see an open with no reader. Treat the signal as a hint, not as proof.

Can the AI assistant send the reply directly?

No. The AI assistant creates a draft from the thread, in the tone and language you choose. You read it, edit it and send or schedule it. Nothing leaves without your click.

Do emails land in the CRM even if I write them in my mail client?

Yes. The sync runs in both directions. Incoming and outgoing emails are matched to the right contact, company and deal automatically. Scheduled sending and open tracking, though, you use from inside Advanzo.
